Service and Supply Agreements?

Does anyone use a service or supply agreement for fleet washing. How do you sell it to your customers? This is something that I would like to hear from others in this fleet washing industry.

It was interesting talking with you, Doc and Ron in Chicago this past fall.

I never have had service agreements with our fleet accounts. Many of my customers have been with us for 15-20 years.

Do you use service agreements?

Hello Paul and Dave,

It was great meeting and talking to you two, along with Doc as well. (Ron hid from me and wouldn't come out) in Chicago. Greg and I really enjoyed that and are looking forward to talking with you guys again soon. While we do have some of these, most are per our customers request. Most of ours sound a lot like Daves, which are made with a word and a handshake instead of a piece of paper. Do you have a lot of that in Canada?

I apreciate you finally tuning in here and wish you well in your PWI postings.
On to your question, absolutely we rarely do verbal agreements.
I guess it would be very difficult for me as well as my customers as musch as personel move around to work on a handshake.
Many of the GM , DM’s and even VP’s move around from company to company. It would be very difficult if a scope of work was being questioned and then they wanted something different.

Alos if I let a salesperson go? How would I resolve that one?
It’s pretty much a must we have agreement and even changes in writing. I have found the customer I deal with demand it. They would not even do business with my company unless I provided a in writing agreement.

My service agreement is very simple and I can send you a copy if you Pm a request. The gals in the office will send you a cd of some documents we use. They are actaully very simple.
 
Great meeting you guys also. I wish we had more time to talk in Chicago. All of our customers we have are a hand shake also. The current way we have is like Ron says that after time the players change and then the new guys come in and we have problems. So I'm looking to see who's got something in writing and if they will share with me. Ron, I will call you for a copy of yours. Thanks.

In the event Rons docs don't help ~ give me a call. We have some fleet washers over at the UAMCC that I am sure can show you the necessary documentation you should have to avoid problems with your contracts!
 
That's a good point you and Ron bring up. I guess we've never really considered it up until now. We've had the same guy managing the place for 26 years. Something to think about!
 
Another way to address this without having to worry so much about the "person" that may or may not be there over a specific period of time......form your contracts so that it impliese the persons job position.

For example you may write a contract addressed to John Doe. Well, John Doe could very well be the company's facility manager. Word your contract so that is speak to the person's title vs. persons name.

By doing that you are covered. If John Doe leaves and Jane Day takes his place as the facility manager ~ your contract is still intact.

We did this when we had the Chevy's Fresh Med Restaraunts in the Bay Area. Ron your familiar with that chain!!
 
I've done a few contract for various cleaning trades over the years with some being longer than others but have pretty much scrapped them for simpler one page quotes off an accounting program.
Addressing them is via naming their business name as 'Quoted to:', the person I am dealing with as 'contact:' or sometimes 'attn:'. Their signature line reads 'Client or authorized representative/agent'.

Hi Ron, never got anything from you. A couple of other sent me their service agreements. Did you send something? Also while I have your attention could you send me a list of all the round table dates as maybe the PWNA might be able to attend some of these events. I'm heading down to Florida to the Alliance training classes this weekend. Hope to catch up with some old friends. When you get a chance can you call me as I want run something by you.
 
I don't currently do a contract. But I do have one company that seems to think we have a writen contract. They have been telling there fleet managers that they have to use me because we have a contract. Works for me. LOL
